Aim of policy:

The aim of this policy is that staff should understand how to use the building and Rainbow facilities according to exceptions of the management. The policy provides specific guidelines that staff should follow when using the building.

Our building rules!

We are very proud of our building at Yavne 2, and we ask you to follow these simple rules to keep the building running smoothly.

All staff are request to remind other colleagues of these rules when relevant, and especially to remind parents and families of these rules when necessary.

It is the responsibility of all staff to help maintain a safe, tidy and welcoming facility at Rainbow. This means taking action and being proactive to help keep the environment and facility nice for everyone. Step up and do your part!

Bikes and Scooters

Staff are permitted to park bikes or scooters in the buggy parking area at the front of the building. There is very limited space, and the space is shared with all families who bring buggies for their children. Any Bikes or Scooters should be placed either on the right or left of the building, and right at the very back against the wall or back fence. Bikes and scooters should be removed at the end of your shift, you are not permitted to leave these items overnight. Please note, that we strongly advise that you securely lock anything that you leave, and that note that Rainbow do not take any liability whatsoever for any items left. If you choose to leave items, this is completely at your own risk in relation to theft or damage. Our insurance does not cover such items, and Rainbow will not pay for broken, damaged or stolen property left in the buggy area.

Staff bikes and scooters may not be brought into the building.

Building and door codes

The front gates, the front door and the internal doors all have codes. These are issued to new staff on starting employment. Codes are periodically changed, especially when staff leave.

Staff are not permitted under any circumstances to share or disclose the codes to any parents or other family representatives, and are not permitted t share codes with any other individuals who do not work for Rainbow.

Staff must be especially vigilant when colleagues leave Rainbow, and must not give out new codes to people who have left. If old staff need to come back to collect belongings or meet with office staff, they must use the doorbell, and should not be given new codes.

Staff are permitted to use the codes to enter the building, staff may enter up to ONE HOUR before their shift starts, not earlier, and staff must leave the building within ONE hour of their shift ending, no later. Staff may not access the building at other times for example at evenings or weekends, even just to collect something that has been forgotten, without the permission of the management. Unauthorised entry to the building may result in disciplinary action.

Dogs

Staff are not permitted to bring dogs (or any other animals) to work.

We ask that parents avoid bringing dogs to pick up and drop off. If its unavoidable, parents are requested to leave any dogs outside the building. Dogs are not permitted to enter our yards or the the building. All staff are required to reinforce this rule, and remind parents where appropriate.

Answering the front door

All staff who have completed induction are required to answer the front door if it rings, and they are nearby or can help. Parents are not given the door code to the building and so will often ring to gain entry

During the COVID-19 restrictions NO PARENTS ARE ALLOWED IN THE BUILDING.

At non-COVID times, the intercom bell can be operated from inside the building, or the managers have an app on their phones that can open the doors remotely. Nearby staff can also open the door for parents or visitors.

General guidelines for answering the door:

  • Do not ignore the bell! Answer it as quickly as possible to reduce any waiting time for customers or visitors
  • Do not let anyone you do not personally know into the building
  • If a parent is arriving, check who they are picking up if you do not recognise them, you can then ask for ID or ask them to wait OUTSIDE the front door while you bring a team member from their group
  • Please pleasant and welcoming to everyone at the door, but be firm that you cannot let people you do not personally know into the building
  • Be helpful, try to help the person as best you can
  • If it is a delivery, escort the delivery to the correct part of the building
  • If someone has a letter that requires a signature, turn them away and explain you cannot help

Buggies are NEVER allowed to be brought into the building. 

Toilets

There are three adult toilets in our building. One is located in Zebras, one ‘public’ toilet on the middle floor; (parents and visitors may use this toilet) and one staff only toilet on the top floor outside the staff room. Please replenish toilet paper in the holder from the storage on the shelves if you use the last piece. Please remember to flush, and if you can’t because the toilet is malfunctioning, please inform the office. Please leave the toilet tidy, as you would expect to find it. Call housekeeping if the toilet requires attention.

Location of resources

There are classroom specific resources in each room, and these are for use in the specific classrooms, however, there are also resources around the building inn the following places:

  • Kalax in the lobby – library books, lost property, role play materials
  • Kalax by the jungle door – outside play resources and parachutes
  • Drawers on the stairs – shared stationary resources and number rhyme story sacks
  • Staff room – learning materials in the brown closets, and messy play in the closets under the microwaves
  • Laundry room – spare clothes, sheets, fabrics, tools, laundry and cleaning supplies, clocks, potties
  • Kallax outside the kitchen – mealtime supplies (cups, plates etc)
  • Kalax outside the office – latex gloves, plastic bags
  • Kitchen – food and snacks and cooking supplies

Theft of resources

The resources are for use at work, and for work related purposes. Staff are not permitted to use any resources for personal use, or to remove resources for own use at home. This is considered theft, and anyone who is found to be taking Rainbow resources will be subject to disciplinary procedures and reported to the police for theft, this could result in immediate termination of employment without notice.

Dropping off and picking up Tigers and Zebras

Tigers should be dropped off between 7:30 and 8:30 using the gate to the left of the building, and Zebras using the gate on the right. The gates will be locked after 8:30, and parents arriving after 8:30 should use the main entrance. Pick up between 4:00 and 4:30 using the gate, but if you are arriving earlier, please use the main door at the front of the building. The gate code will be given to all parents. Parents are asked to close the gate securely behind you, and please do not open the  gate to anyone, even other parents.

During COVID parents are not permitted to enter the yards, and the pick up is from outside of these gates.

Dropping off and picking up Penguins, Lions and Elephant children

To enter the building parents should use the main entrance. They should knock on the classroom door. Children should be dropped off your child at their classroom door. At the end of the day staff will bring the children to the door, after they have opened it to the parents.

Penguins will receive feedback on their child’s day in the space just outside the Penguin unit. Lions and Elephants parents will receive feedback by exception, so if there was anything unusual about the child’s day, we will inform you. If there is a * next to the child’s name on the feedback sheet – this indicates that we need the parent to speak to a team member because we have something specific to feedback.

Asking parents to make a swift exit

We have 150 sets of parents, therefore we require all parents to make a swift fast exit once they have picked up their children, please ask parents to avoid hanging around in the building. At pick up and drop off space is at a premium, and so we ask parents to leave the building as quickly as possible to avoid congestion, staff need to help facilitate this.

Staff should remind parents to keep corridors and gangways clear, and avoid sitting on the stairs, this is dangerous and can block walkways.

Food in the building

Children are not permitted to bring any food into the building. Parents are asked to ensure that children finish any food before entering the building and refrain from giving their child any food until they are out and away from our premises.

Please ensure that children do not leave the classroom with food, this is especially relevant when celebrating Kabob’s Shab or birthdays. We do not offer a take-away service. Any food must be consumed within the classroom before a child leaves.

Office

The office is generally closed to staff. Staff may only enter the office at the invitation of a manager or the administrator, and staff should never remain in the office alone.

General upkeep of the building

Staff are required to help with the general upkeep and health and safety of the building. Staff should step up, and do things around the building without being asked, using now initiate to help keep the facility tidy, organised and usable, including, but not limited to:

  • Reporting any faults to the office (via the ‘What we need’ Whatsapp group
  • Picking up any rubbish on the floor in communal areas, without being asked to
  • Removing any hazards, for example something that has been left on the stairs
  • Alerting housekeeping if an area needs cleaning or emergency attention (such as a spillage)
  • Keeping displays in public areas well maintained
  • Maintaining or ‘fixing up’ the interest table each time you pass it
  • Tidying away books left in the lobby and arranging the Kalexes nicely
  • Distributing any recycled or donated items in the large white boxes in the lobby
  • Picking up stray toys found around the building or garden, and returning them to their correct classroom or place, or putting them in ‘lost and found toys’ in the staff room
  • Putting bin bags into bins in communal areas (Rainbow room, garden, lobby, bathroom) and emptying it if they are full
